Position: Specialist Admin. Support (Emirati) Purpose of the Position 1. To Support Admin functions in general by acting as a "generalist" for different admin roles. 2. To be able to act as back-up/stand-in for the different admin positions. 3. To act as focal point for local cultural know-how & facilitate local interactions. Key Responsibilities 1. Maintains office equipment, supplies and stationery ensuring smooth office operations. 2. Supports facilities management, general maintenance services & repairs, issuance of permit to work and service completion reports. 3. Manages drivers and office assistants' schedules. 4. Organizes and supports internal and external events, including meeting arrangements, logistics coordination, catering and guest preparation. 5. Supports onboarding and offboarding logistics (seating plan, workspace setup, access cards, business cards, parking allocation, etc.) 6. Organizes and overseas travel arrangements, including booking flights, accommodations, and transportation, while ensuring compliance with OMV travel policies and budgetary guidelines. 7. Receives and screens telephone calls, letters, couriers and posts. Distributed company mail and parcels. 8. Prepares periodic administrative reports, expense summaries, and maintains updated departmental correspondence, records and filing systems; ensuring accuracy, completeness, & confidentiality. 9. Supports front desk and visitor management activities as and when required. 10. Supports PRO with Taqyeem and other authorities' office visits, and coordinates with ADNOC for CICPA and site visit support as required. 11. Coordinates with different departments such as finance, IT, P&C, Legal etc. for different administration tasks. Requirements 1. Education: University Degree Bachelor 2. Relevant Professional Experience: 1-3 years 3. Subject of Education: Business Administration/ Finance/ Human Resources/ Facility Management 4. Familiarity with using MS-Office apps, especially MS-Word & Excel, MS Teams and Sharepoint
